- Add a version number convention (e.g., _v1, _v2, _final) and ask Sortio to group versions together under each project or client.
- If your team uses project codes (e.g., PRJ-042), mention the code format in your prompt so Sortio can match files more accurately.
- For teams that deliver across platforms, add sub-folders like Web, Print, and Social within each project or client folder.
- Combine the "by project" and "by file type" prompts by asking Sortio to sort by project first, then by file type within each project folder.
- Specify a naming convention in the prompt (e.g., "client_project_asset_version.ext") and ask Sortio to flag files that do not follow it.
Troubleshooting
Problem:
Files with ambiguous names end up in the wrong project or client folder.
Solution:
Add explicit project or client names to your prompt so Sortio has clear labels to match against.
Steps:
- 1Review the _Unsorted or Internal folder for misplaced files.
- 2Update your prompt to list known project names or client codes, e.g., "Projects include: Homepage Redesign, Q1 Campaign, Mobile App v2."
- 3Re-run the sort with the updated prompt.
- 4Rename ambiguous source files to include the project or client prefix for future sorts.
Problem:
Exported raster images (PNG, JPG) get separated from their source files (PSD, AI).
Solution:
Use the "Sort by Project" or "Sort by Client" prompt instead of "Sort by File Type" to keep source files and exports together.
Steps:
- 1Choose the "Sort by Project" prompt so related files stay grouped.
- 2If you need both groupings, ask Sortio to sort by project first and then create sub-folders by file type within each project.
- 3Verify that exported files include the same project or client prefix as their source files.
Problem:
Figma files (.fig) are not recognized or are placed in a generic folder.
Solution:
Ensure your files use the .fig extension. If they are exported as .zip or .json, mention this in your prompt.
Steps:
- 1Check that Figma exports have the .fig extension.
- 2If your workflow produces .fig.zip files, add a note to your prompt: "Treat .fig.zip files as Figma files."
- 3Re-run the sort after adjusting the prompt.
