Manage Creative Assets

A workflow guide for creative professionals to organize design files, maintain brand asset libraries, and manage project deliverables across multiple clients and campaigns.

The Challenge

Creative professionals accumulate thousands of files across projects: source files, exports, revisions, and assets. Without organization, finding the right version of a file or locating brand assets becomes a daily frustration that kills productivity.

Who This Guide Is For

  • Graphic designers managing client projects
  • Photographers organizing shoots and edits
  • Video editors handling footage and exports
  • Creative directors overseeing team assets
  • Marketing teams managing brand libraries

Step-by-Step Guide

1

Establish Project Hierarchy

Organize by Client > Project > Phase (Concepts, WIP, Final, Archives). This structure keeps active work accessible while clearly separating completed projects. Example: /Clients/Acme Corp/2025 Rebrand/Final/

2

Separate Source Files from Exports

Use Sortio to automatically separate editable source files (.psd, .ai, .indd, .prproj) from exported deliverables (.jpg, .png, .pdf, .mp4). Prompt: "Separate source files from exports, keeping source files in a Sources subfolder"

3

Implement Version Control

Configure naming conventions that include version numbers. Sortio can detect version patterns (v1, v2, _final, _revised) and organize files chronologically. Enable file renaming to standardize version naming across all projects.

4

Create Asset Library Structure

Build a shared asset library with categories for Logos, Templates, Fonts, Stock Resources, and Brand Guidelines. Use Smart Folders to automatically route new brand assets to the correct location.

5

Set Up Project Archive Process

When projects complete, use Sortio to archive them: move to Archive folder, separate source from final, and create a project summary folder with key deliverables. Prompt: "Archive this project: move finals to Archive/[ProjectName], keep source files separate"

6

Configure Format-Based Sorting

Create sorting rules for specific creative workflows. Example for photographers: "Sort by file type: RAW to Originals, JPG to Processed, PSD to Edits". For video: "Sort by type: footage to Raw, exports to Renders, project files to Projects"

Example Workflow

1Before

A designer's project folder contains 200+ files: multiple logo versions, mockups, source files, client feedback PDFs, and export variations. Finding the latest approved version takes 10 minutes of searching.

2The Prompt

Organize this project folder: separate source files (.ai, .psd) from exports, group by asset type (logos, mockups, presentations), and identify the most recent version of each asset

3After

Files are organized into Sources/, Exports/Logos/, Exports/Mockups/, Exports/Presentations/. Each export folder contains versions sorted by date with the latest clearly identifiable.

Pro Tips

  • Use descriptive project codes in folder names (CLIENT-YEAR-PROJECT)
  • Archive completed projects quarterly to improve navigation
  • Keep source files and exports in separate folder hierarchies
  • Create a "Quick Access" folder with links to active projects
  • Document your folder structure so team members can follow it
  • Use Sortio's backup feature before major reorganizations

Frequently Asked Questions

Can Sortio handle large video files?

Pro handles video files of any size. AI sort is capped at 5,000 files per run, so for very large video libraries, use Pro automations (rule-based sorting) which process any number of files instantly at no AI credit cost.

Will sorting affect my Adobe project links?

Sortio moves files to new locations, which may break links in Adobe projects. We recommend organizing assets first, then updating project links, or keeping frequently-linked assets in a stable location that Sortio excludes.

Can I sort files on external drives?

Yes, Sortio can organize files on any mounted drive accessible through your file system, including external hard drives, NAS devices, and network shares.
