Instead of opening a cluttered Downloads folder every Friday and dragging items into project directories one by one, you define what belongs where, and files travel to their destinations on their own. The concept sits at the center of desktop file management because most disorganization is not caused by a lack of structure, but by the gap between when a file arrives and when someone finds time to file it.

Traditional approaches rely on deterministic rules: if a filename contains "invoice," move it to Finance; if the extension is .png, move it to Images. These rules work well for predictable patterns, but they struggle with the messy reality of real filenames like "scan_004.pdf" or "final_v3_updated.docx." Modern approaches add AI-powered interpretation, letting you describe the outcome you want in plain language and letting the system infer which destination fits each file.

The mechanism has three stages: detection, evaluation, and transfer. Detection identifies which files are candidates — typically everything in a watched source folder, or the folder you select for a one-time sort. Evaluation compares each candidate against your criteria. Rule-based tools match on literal attributes: extension, filename pattern, creation date, size, or tags. AI-driven tools interpret intent, mapping a natural language instruction onto the actual files present and deciding which destination folder each one belongs in. Transfer performs the move itself, creating destination folders when they do not exist and resolving name collisions so nothing is silently overwritten.

Sortio reads filenames and metadata by default; if you enable the content sorting toggle, it also examines what is inside supported documents so that a file named "scan_004.pdf" can still be recognized as a signed lease. Content analysis only occurs when you explicitly enable the content sorting toggle. You review the proposed moves before anything is applied, and optional renaming can normalize filenames during the same pass.
