Referral intake from fax portals
How do referrals arrive, who downloads them, and what happens when one fax bundle covers several patients? We want to know who separates the pages, how long it takes, and what goes wrong.
Getting scans into the right chart
After a document is scanned or downloaded, what does it take to attach it to the correct patient record in the EHR? How is the match confirmed, and how often does something land in the wrong chart?
Records requests and release of information
When a request comes in, how are the right documents found, assembled, checked, and sent? Where does the time go, and what gets delayed?
Billing, EOBs, and payer correspondence
How do explanation of benefits documents and payer letters get from a portal or the mail to the person and the system that needs them? What is re-keyed by hand?
Prior authorizations and insurance paperwork
What documents have to be gathered for an authorization, where do they live, and how many hands touch them before the request goes out?
Shared drives and naming
Outside the EHR, how are files named and filed on shared drives, and how do people find them a year later? What has the practice already tried, and why did it or did it not stick?
Where this stands today
Sortio today is a general file organizer for Mac, Windows, and Linux. By default it sends file names and folder paths to our cloud AI, and file contents only when a content feature is switched on. It also has a fully local mode (Ollama) and a bring-your-own-key mode where requests go straight from your machine to your own AI provider.
The healthcare plan is being designed separately, around what practices tell us in these interviews. We are not announcing features, dates, or compliance claims until they are real. Until then we do not recommend pointing the current product at patient records.
During research we do not want any patient information. Interviews are about the workflow: who does what, with which systems, and where the time goes. No names, no record contents.

No. The healthcare plan is in development and we have not set a launch date. Sortio Pro and Team exist today as general file organizers; some practices use them for non-patient files. The healthcare plan will be its own thing, designed around the interviews on this page.
